What is the storage capacity of my Microsoft 365 email plan?

Each Microsoft 365 plan has a storage capacity or the amount of email data it can accommodate. If your inbox is full and you’ve reached your plan’s storage capacity, your messages will bounce back and not be sent to their recipients.

These are each of the Microsoft 365 plans we offer and their storage capacity:

Microsoft 365 email account limitations

You might encounter an error when working with Microsoft 365 because of email limits. For example, if you try to send an email to more than 500 people, you'll get an error because you've exceeded the maximum number of email recipients.

For your reference, here are the limitations that apply to Microsoft 365 email accounts:

  • Aliases: Approximately 400 email aliases
    • This number may vary since it's based on the length of email addresses used for aliases.
  • Attachment Size: 250 attachments per message, not exceeding the 35 MB message size limit

     Note: Outlook on the web has a maximum individual file attachment size of 10 MB.

  • Distribution Group Members: 100,000 members
  • Domain Length: 4 characters minimum and 48 characters maximum, and can only use letters, numbers, hyphens and periods.
  • Exchange ActiveSync Devices: 100 devices per mailbox
  • Folder hierarchy depth: 300 levels
  • Folders per public folder: 10,000 folders
  • Message Rate (Incoming): 3600 per hour
  • Message Rate (Outgoing): 30 messages per minute, 10,000 messages per 24 hours (increases based on number of licenses)
  • Message Size: 35 MB per sent message and 36 MB per received message, including message body, header and attachments (can increase to 150 MB)
  • Message Subject Length: 255 characters
  • Messages per folder in the Recoverable Items folder : 3 million messages
  • Messages per mailbox folder: 1 million messages
  • Password: 8 characters minimum with at least 3 of the following: uppercase letters, lowercase letters, numbers and symbols
    • Users created in the Email & Office Dashboard must have 9 characters minimum and 32 characters maximum.
  • Public folders: 500,000 folders
  • Recipients: 500 recipients per message
  • Rules: 300 rules
  • Shared Contacts: 1000 shared contacts
  • Subfolders per mailbox folder: 10,000 folders

Email at heart of cyber-attacks New research from cyber security provider Hornetsecurity has revealed that 40.5% of work emails are unwanted Hornetsecurity’s Cyber Security Report 2023 , which analysed more than 25 billion work emails, also reveals significant changes to the nature of cyber-attacks in 2022 – indicating the constant growing threats to email security and need for caution in digital workplace communications. Phishing remains the most common style of email attack, representing 39.6% of detected threats.
